Practitioner | Customizing the HBDI® Invitation Text | How-to

Practitioner | Customizing the HBDI® Invitation Text (How-to)

Audience: Certified Practitioners & Practitioner Assistants
Goal: Write clear invitations that motivate Thinkers to complete the HBDI® and any e-learning.

Where you customize in Axon

When sending invitations from the Axon in the Herrmann Platform, you’ll see two customizable text areas:

  1. Opening paragraph — appears above the system text (editable)

  2. Closing paragraph — appears below the system text (editable)

The system text in the middle (assessment description, link, account setup, timing) is standard and not editable.

What great invitations include (the 4 W’s)

  • Why: Context/purpose (e.g., “preparation for our session,” “team development initiative”).

  • What: What to do (assessment + any self-paced modules).

  • When: Deadline or target date.

  • Who: Who’s inviting and whom to contact with questions.

Copy-and-paste templates:

1) CP-led debrief (no self-paced modules)

Opening paragraph (edit me):

You’re invited to complete the Herrmann Brain Dominance Instrument® (HBDI®) in preparation for our [session name] on [date]. In our session, we’ll use your results to explore how thinking preferences shape communication, decision-making, and teamwork at [organization].

Closing paragraph (edit me):

Please complete the HBDI® by [deadline/date]. In our debrief, I’ll walk you through your results and how to apply them.
Questions? Contact [name] at [email/phone]. I’m looking forward to working with you!

2) CP-led debrief + unlock results before session

Opening paragraph (edit me):

You’re invited to complete the HBDI® ahead of our [session name] on [date]. We’ll refer to your HBDI® Digital during the debrief, so please unlock your results beforehand.

Closing paragraph (edit me):

After finishing the assessment, follow the prompts in My Journey → Welcome to enter your unlock code and access HBDI® Digital. Aim to unlock by [deadline/date].
Need help? Contact [name/email].

3) Self-paced learning journey (with optional debrief later)

Opening paragraph (edit me):

You’re invited to complete the HBDI® and the self-paced HBDI® learning journey. This flexible path helps you understand your results and how to apply Whole Brain® Thinking at [organization].

Closing paragraph (edit me):

Start in My Journey → Welcome. When each module reaches 100%, the next unlocks. Please complete through Module [# or “all required modules”] by [deadline/date].
Questions? [name/email].

4) Short “just the essentials”

Opening paragraph (edit me):

Please complete the HBDI® by [deadline/date] to prepare for [session name] on [date].

Closing paragraph (edit me):

After the assessment, follow My Journey for next steps (and to unlock HBDI® Digital if requested). Support: [name/email].

Notes about the system text (non-editable)

  • Explains what the HBDI® measures and that it’s an assessment of preferences, not a test.

  • Includes the secure link, account setup, approximate time (15–20 minutes), and return-later instructions.

Best-practice tips

  • Lead with the “Why.” People complete sooner when they understand the purpose.

  • Set one clear date. Use a single bold deadline, not a range.

  • Match your path. Mention self-paced modules or unlock codes only if you’re using them.

  • Keep it short. One concise opening + one concise closing performs best.

  • Proof names/dates. Ensure the session title, date, and contact info are correct.

Optional checklist (before sending)

  • Edited opening paragraph with Why/What/When/Who

  • Closing paragraph with next steps (unlock code / modules / portal)

  • Deadline set and bolded

  • Contact name & email added

  • Test send to yourself
